(1) Contract design and scope of application

The provisions in the registration form and the following GTC apply to contracts for participation in the 76th BHT - FREIBERGER UNIVERSITÄTSFORUM from 4 - 6 June 2025. Deviating or supplementary general terms and conditions of participants shall not become part of the contract unless TU Bergakademie Freiberg has expressly agreed to their validity.

The participation contract is concluded between the participant and TU Bergakademie Freiberg, organising body Graduate and Research Academy, as the provider. Registration takes place via the electronic registration system at . Upon registration, the participant submits an offer to conclude a contract. Before submitting the registration, the participant can view, change and delete the registration data at any time. The offer can only be submitted and transmitted if the participant accepts these terms and conditions. A contract for participation in the above-mentioned event is only concluded after the registration has been confirmed by e-mail. The registration is binding from this point in time; any statutory right of cancellation remains unaffected.

The provider may reject a registration without giving reasons.

Amendments and/or additions to the contract must be made in writing. Verbal agreements shall only be valid if confirmed in writing.

(2) Cancellation of the event and changes to the course of the event

The scope of the provider's services is set out in the information on the 76th BHT - FREIBERGER UNIVERSITÄTSFORUM 2025. The provider may make changes or deviations in terms of content and organisation before or during the 76th BHT - FREIBERGER UNIVERSITÄTSFORUM 2025. BHT - FREIBERGER UNIVERSITÄTSFORUM 2025 if the change or deviation is expedient and does not completely change the core of the 76th BHT - FREIBERGER UNIVERSITÄTSFORUM 2025. At the same time, the provider is authorised to replace any scheduled speakers with other, equally qualified speakers if necessary.

The provider is entitled to cancel the event for economic reasons. In this case, it shall refund the participation fees already paid. There shall be no further claims.

If parts of the event cannot be held in the originally planned form, this shall not give rise to any right to reimbursement of the participation fee or parts of the participation fee or other expenses.

If parts of the event are cancelled without substitution, the participation fee for these parts will be refunded.

(3) Fees and payment modalities

The general regulations on the amount of the fees and the discount options are provided in the programme booklet and on the website.

Discounts can only be granted if the participants provide proof that they belong to one of the eligible participation groups. The options for providing proof can be found in the information provided during registration. If the provider has not received such proof by the time the invoice is issued, the full price will be charged.

A change between free colloquia and colloquia requiring payment is only possible upon payment of the participation fee.

The conference fees for speakers are covered by the respective institutes organising the specialist colloquium. The fee for a half-day specialist colloquium is 15 euros, for a one-day specialist colloquium 50 euros and for a two-day specialist colloquium 100 euros.

Registration obliges you to pay the stated costs within the period stated on the invoice, regardless of actual participation. Payment is to be made by bank transfer to the account specified on the invoice.

The invoice will be sent electronically without a signature. If the participant requires an invoice by post, they must request this when registering.

The Provider's claims shall bear interest at the statutory rate if the Participant is in default of payment. Further claims for damages by the Provider shall remain unaffected.

The Participant shall only be entitled to set-off if the counterclaim is undisputed or has been legally established or expressly recognised by the Provider in writing. A right of retention can only be asserted on the basis of counterclaims that are based on the same contractual relationship.

When organising the 76th BHT - FREIBERGER UNIVERSITÄTSFORUM 2025, the provider is bound by the requirements resulting from the Corona Protection Ordinances, general decrees and other publications of the Free State of Saxony, the district of Central Saxony and the city of Freiberg. This could result in additional costs, for example when carrying out a test for the SARS-CoV-2 coronavirus, which must be borne by the participants themselves.

(4) Rights of use

Presentations and event documents are protected by copyright law. The copyright to the respective event documents, regardless of their type or embodiment, shall belong solely to the Provider or the respective publishers or producers. Rights of use shall only be transferred if the granting of rights of use is expressly agreed in writing.

Photographs and film footage taken at the event will be published as part of articles, in publications of TU Bergakademie Freiberg, in other newspapers and magazines and on the Internet.

(5) Liability

Insofar as it is not a matter of the breach of essential obligations arising from the contractual relationship ("cardinal obligations"), i.e. those whose fulfilment is essential for the proper execution of the contract, or of damages resulting from injury to life, limb or health, the provider shall only be liable for itself and its vicarious agents for damages which are demonstrably based on an intentional or grossly negligent breach of duty within the scope of the contract and which are still typical damages within the scope of the foreseeable.

The Provider shall not be liable for consequential damages resulting from incorrect content of the lectures and seminars or the documents (e.g. with regard to accuracy and completeness). The provider is also not liable for items brought in by the participant, such as their wardrobe, unless the damage is due to an intentional or grossly negligent breach of duty by the provider, their legal representatives or vicarious agents.

(6) Cancellation and changes

If the registration is cancelled up to and including 27.05.2025, the provider will charge a one-off processing fee of EUR 10.00. The cancellation must be made by email up to and including 27.05.2025. Cancellation must be made by email to bht [at] grafa [dot] tu-freiberg [dot] de (bht[at]grafa[dot]tu-freiberg[dot]de). The right of cancellation of consumers[1] remains unaffected. It is possible for a participating person to be represented by another person from the same company.

(7) Data protection notice

The participating persons agree to the processing of personal data insofar as this is necessary for the organisation and implementation of the 76th BHT. BHT - FREIBERGER UNIVERSITÄTSFORUM 2025 is required. In order to process your registration and participation in the 76th BHT - FREIBERGER UNIVERSITÄTSFORUM 2025, we process the data listed below.

Required fields: Participation group, selected colloquium(s), first name, last name, e-mail address, street, house number, postcode, city, consent/refusal for information about future events.

Optional fields: Language, salutation, academic title, company name, name of the institute/department, VAT ID no., e-mail address for sending invoices, comment.

The data processing is carried out exclusively for the purpose of organising, implementing and handling the 76th BHT - FREIBERGER UNIVERSITÄTSFORUM 2025, so that we can ensure that the event runs smoothly. (8) Final provisions

Should individual provisions of the contract be invalid in whole or in part, or should the contract contain a loophole, the validity of the remaining provisions or parts of such provisions shall remain unaffected. The invalid or missing provisions shall be replaced by the respective statutory provisions.

The law of the Federal Republic of Germany shall apply to legal disputes between the Provider and the Participant, to the exclusion of all international and supranational (contractual) legal systems, in particular the UN Convention on Contracts for the International Sale of Goods.

If the participating person is a merchant within the meaning of the German Commercial Code or a legal entity under public law or a special fund under public law, Freiberg is agreed as the exclusive place of jurisdiction for all disputes arising from the contractual relationship or in connection with these terms and conditions. This also applies in the event that the participating person has no general place of jurisdiction in Germany.

Cancellation policy for consumers

If you are a consumer, you have a right of cancellation in addition to our General Terms and Conditions.

You have the right to cancel this contract within fourteen days without giving any reason. The cancellation period is fourteen days from the day the contract is concluded. To exercise your right of cancellation, you must contact the

by means of a clear statement (e.g. a letter sent by post, fax) of your decision to withdraw from this contract.

To meet the cancellation deadline, it is sufficient for you to send your notification of exercising your right of cancellation before the cancellation period has expired.

Consequences of cancellation

If you cancel this contract, we shall reimburse to you all payments received from you without undue delay and in any event not later than 14 days from the day on which we are informed about your decision to cancel this contract. Under no circumstances will you be charged any fees for the cancellation or this repayment.
